Page 10: Process Monitoring

The Operational Monitoring tools in Laserfiche Forms allow process administrators to track active instances in real time, inspect variable values, diagnose stuck workflows, and resolve operational errors as they occur.

🖥️ 1. Accessing Instance Management

To monitor and debug running processes:

  1. Log into Laserfiche Forms.

  2. Click Monitor from the top primary navigation bar.

  3. Select your process from the process list to view all associated instances.

  4. Use the status filter tabs to view instances by state:

Status

Details

In Progress:

Actively moving through process diagram steps.

Completed:

Successfully finished all process paths.

Suspended / Faulted (Error):

Stopped due to a service error or unhandled failure.

Terminated:

Manually cancelled or ended by a Terminate event.

🛠️ 2. Administrative Actions & Remediation

When troubleshooting an active or errored instance, administrators have access to several recovery actions:

How to Perform

Retry Step

A service task failed due to a temporary network blip, temporary SQL outage, or temporary repository connection loss.

Select the failed service task node (red highlight) and click Retry Task after verifying connection stability.

Edit Variables

A process is stuck because of invalid data submitted on a form (e.g., misspelled email address, invalid cost center code).

Open the Variables tab, edit the incorrect variable value directly (e.g., update varEmailAddress), save, and click Retry.

Reassign Task

A user task is assigned to an employee who is unavailable, on leave, or no longer with the organization.

Select the active User Task, click Reassign, and assign it to a new user or team group.

Interrupt / Skip Step

A non-critical service task consistently fails, and the instance needs to bypass it to continue to the next step.

Select the step in the visual history and click Skip Step or manually force execution down a downstream path.

Terminate Instance

An instance was created in error, contains duplicate test data, or cannot be recovered.

Click Terminate Instance in the top action menu. This immediately halts all execution paths.
