Page 8: Publishing & Going Live

Publishing a process in Laserfiche Forms makes the current draft version active and accessible to end-users. The deployment procedure differs depending on whether your process utilizes an Internal Form or an External Form.

🚀 1. Publishing Internal Forms

Internal forms are hosted on the internal network and rely on Windows Authentication. Deploying an internal form requires only standard publishing within the designer interface.

📋 Steps to Publish an Internal Process:

  1. Log into the Internal Forms Designer:

    👉 https://forms.conroeisd.net/Forms

  2. Open your process and perform a final Save and Test Process run.

  3. Click the Publish button in the top right control bar.

  4. (Optional) Enter a Version Comment describing the updates or changes made in this deployment (e.g., v1.0 - Initial Production Launch).

  5. Click Publish.

✅ Result: The process is now immediately live. Internal users can access the initiating form via the internal URL or find assigned tasks in their Laserfiche Forms Inbox.

🌐 2. Publishing External Forms

External forms are accessible to public users, vendors, or remote staff outside the district network. Because they reside on an internet-facing gateway, publishing requires an extra configuration step on the external portal to expose the form publicly.

⚙️ Steps to Publish an External Process:

▶️ Step A: Publish in Designer

  1. Log into the External Forms Portal:

    👉 https://lfweb.conroeisd.net/Forms

    (Remember to use EMPLOYEES\username to log in)

  2. Open your process, perform final validation, and click Publish in the top bar.

🔧 Step B: Configure External URL & Public Access

  1. In the external portal (lfweb.conroeisd.net/Forms), navigate to Manage or open the published process options.

  2. Locate the initiating form settings for your external process.

  3. Change the URL: Ensure the form URL is updated to match the external public domain endpoint structured for external access.

  4. Make Public: Under Access Rights / Security settings for the starting form, set access permissions to Public (or enable public submission access).

  5. Save changes.
