This FAQ provides quick answers about Incident IQ asset audits, access, room and asset management, recycling, repairs, and troubleshooting. Expand a question below to find the guidance you need.

Access and permissions

Who can verify assets in Incident IQ?
  • Teachers, paraprofessionals, and support staff: You can verify assets assigned to your claimed rooms.

  • Campus Technology Staff with an Agent role: You have campus-wide access, including access to bulk scanning and verification for any areas needed.

Should staff who work across multiple campuses or rooms claim each assigned room?

Yes. Staff members who travel between campuses or rooms, such as educational diagnosticians, should claim every assigned room in IIQ. Claiming a room allows them to submit help tickets and manage equipment there.

Can more than one person claim the same room?

Yes. Multiple staff members can claim the same room.

I'm the new Campus Technology Contact for my campus. How do I request Agent access for my campus?

You will need to request additional access by submitting the form, Incident IQ Agent/Campus Admin Access Request.

Completing an asset audit

What is the best practice method for Completing an Asset audit?

The Scan More option in the mobile app is currently available only to Campus Technology Staff accounts.

Teachers can still verify assets by scanning them individually in the mobile app. See Verifying One Asset Using the Incident IQ Mobile App.

For faster scanning, sign in to the IIQ website on a desktop computer, laptop, or Chromebook and use a USB or Bluetooth barcode scanner. See Bulk Verify Assets Using the Incident IQ Website.

What documentation is required after a classroom audit?

Verify all assets assigned to the room in IIQ, then return a signed Room Asset Audit Checklist to your Campus Technology Contact.

What should I do if a staff member becomes the owner of room assets?

Your Campus Technology Contact can complete a Batch Check-In in IIQ. This removes your individual ownership while keeping the assets assigned to the correct room. See Batch Check In.

What is the best practice method for verifying that campus staff have audited their room?

Campus Staff will complete and sign their Room Asset Audit Checklist which they will turn into their Campus Technology Contact.

Rooms, views, and asset history

What should I do if a room is missing or has the wrong name in Incident IQ?

Reach out to your Campus Technology Contact at your campus who can submit a ticket to have this information updated.

How can I trace a device listed in “Tech Transfer” or “Room - Missing”?
  1. Review the device timeline: Open the device details and check the Timeline for previous room and assignment changes.

  2. Add room information to ticket views: Add the Room Number column to the Tickets View. This can identify the room that originally submitted a ticket for the device.

Asset tagging, recycling, and repairs

Do items purchased by another district department need an asset tag?

Yes. Reach out to your Campus Technology Contact who will apply an asset tag to the device

What should I do with End-of-Life (EOL) equipment found during an audit?

For old devices and equipment found on campus during an audit, Campus Technology Contacts should follow the Technology Recycling Process.

How should I handle old or untagged items that are not Incident IQ?

You do not need to add recycled items to IIQ solely for recycling.

  • Items already in IIQ: Change the item's location or status to EOL (End of Life), generate the applicable Excel export, and attach it to a Technology Recycling ticket.

  • Items not in IIQ: Record or scan the serial numbers and descriptions of items such as untagged monitors, old VR equipment, and loose cables in a separate Excel spreadsheet. Attach the spreadsheet to the recycling ticket so Network Techs know what to collect.

How should I handle laptops that cannot be upgraded to Windows 11?
  • Unassigned or extra devices: Send them to Recycle because Windows 10 is no longer supported.

  • Devices still in active use: Keep them in service until a replacement Windows 11 device is issued.

What should I do with a device sent for third-party repair that has not been returned?

Keep the device in your inventory records while the repair ticket remains active. If the device has been away for an extended period, contact the Campus Technology Contact for an update.

If the device is returned to your campus as unrepairable or recyclable, your Campus Technology Contact can follow the recycling process to remove it from active campus inventory.

Troubleshooting

What should I do if Incident IQ freezes or shows outdated information?
  1. Refresh the browser page.

  2. If the issue continues, clear your browser history and cache.

  3. Sign out of IIQ completely, then sign back in.
