Scanning Student Answer Documents

Use Aware with a locally connected scanner to capture student answers for review and data analysis. This page explains how to install the scanning application, scan answer documents, import TIFF files, and review or correct scanned responses before upload.


Installing the Scanning Application

Before scanning student answer documents, make sure the scanning application is installed on the computer connected to the scanner.

Caution: If your district installed the Scanning Application before October 2021, uninstall Eduphoria Plain Paper Scanner before updating to version 4.0. Open Control Panel, select Programs and Features, choose Eduphoria Plain Paper Scanner, and then select Uninstall. Follow the prompts to complete the removal.

  1. The campus technology contact with administrator rights must sign in to your device.

  2. Confirm that any previous version of the Eduphoria Plain Paper Scanner software has been uninstalled and removed.

  3. Download the correct version of the scanner application for your operating system: https://downloads.schoolobjects.com/Downloads/PlainPaperScanner_x64/PlainPaperScanner_x64_4_0_2_0.msi.

  4. For Fujitsu scanners, install the PaperStream driver for the scanner model before continuing: https://imagescanner.fujitsu.com/global/dl/.

  5. Follow the installation wizard to complete setup, then open the tool from the Windows desktop icon.

  6. The first time the tool opens, enter your Eduphoria URL - https://eduphoria.conroeisd.net - if no prior configuration exists on the computer. After the URL and connection are validated, you can close the application or begin scanning.


Using a Locally Attached Scanner

To scan student response forms, open the scanner application from the desktop and select Next.

Step 1: Log in

Create an application-specific password using the instructionshttps://support.eduphoria.net/v1/docs/creating-application-specific-passwords , then enter it to log in.

Step 2: Scan or Import?

Select the scanner type that matches your device.

  • WIA Scanners for Brother scanners and Brother MFC machines

  • Twain Scanners for Fujitsu, Dell, and most other scanners

If you plan to upload a TIFF instead of scanning directly, continue to the Importing TIFF Files section.

Step 3: Scan

Place the student answer documents in the scanner tray. The scan begins when you start the process in the tool.

If a pop-up message says the scanner is not supported, complete the following steps:

  1. Have your Campus Technology Contact log in as the Systems Administrator.

  2. Open Aware.

  3. Select the Analyze tab and open Configuration Options.

  4. Select the Testing tab.

  5. Choose Update Scanner Profiles.

Step 4: Review

When scanning finishes, a report window displays the number of documents scanned successfully, documents with errors, and the total number scanned.

To review or correct possible issues, select Response Editor. After confirming the results are correct, select Next to upload them.


Importing TIFF Files

Use a multi-page TIFF file when scanning cannot be completed directly from a computer attached to the scanner. This method allows the same scoring workflow from an imported file.

Recommended scan settings:

  • Resolution: 200 dpi

  • Color: Greyscale

  • Contrast: Default

  • Brightness: Default

If your scanner offers them, use Auto White Balance and Auto Bright. If the results include too many indeterminate bubbles, adjust the contrast or brightness settings carefully.

Brightness adjustment: If pages appear too dark or too light, adjust brightness without making the black bar at the top or bottom of the page appear less than fully black. Setting brightness too high can reduce accuracy or prevent the software from detecting page edges correctly.

Contrast adjustment: If penciled bubbles appear too light or there is not enough visible difference between erased marks and selected bubbles, increase contrast gradually. Do not increase contrast to the point that pencil marks appear fully black, because the scoring process depends on shades of gray.


Editing Scanned Responses

After scanning, the Response Editor displays an image of each answer document so responses can be reviewed and corrected before upload.

A list of scanned documents appears on the left side of the window. Each document is labeled as one of the following:

  • All correct

  • Correctly scanned with warnings

  • Unreadable

  • Blank

Documents marked Correctly scanned with warnings were recognized as answer documents, but one or more issues were detected, such as double-bubbled answers or questions left unanswered.

Documents marked Unreadable or Blank were not recognized as valid answer sheets. This usually happens when the page is physically damaged or the code bars at the bottom of the form cannot be read.

To focus only on documents that need attention, select Only show documents with errors. To view the full page, select Fit to screen.

If an answer choice is highlighted in red on the right side of the screen, the student either did not select an answer or the mark was too light to read. You can assign an answer by selecting the correct choice from the drop-down list for that question.

If an answer choice is highlighted in yellow, the student marked two answers. The system automatically selects the largest and darkest bubble, but you can change that selection before uploading.

If the test includes an open-ended response, complete that scoring online after scanning. Open-ended responses should not be scored during the scanning process.

To remove a document from the current scan session, select Delete. The document must be corrected and scanned again to be included in the final data set.

After all issues are resolved, select Close to return to the scanning wizard. Then select Next to upload the answer documents, Finish to close the program, or Back to scan more documents.


Frequently Asked Questions

How do I ensure good quality when preparing the printer to print answer sheets?

Any printer can be used to print answer sheets, but be careful. When you print one answer sheet, glance at the bottom and study the barcode. If it is light in color, add toner to the printer before using the printer to print answer sheets. The barcode must be a solid black color.

I want to add or remove a question from the test. Can I do that?

If answer sheets have not been printed yet, then yes, you can modify the test. If you must make any modifications to a test after answer sheets have been printed, then you must reprint all answer sheets.
